Web Voucher Responsibility Naming Convention

There are no responsibility restrictions for people who prepare and submit web vouchers for approval. If you use Web Voucher to prepare vendor invoice payments or business-related reimbursements, you can both select and enter any Chart of Account values and submit the voucher to any other individual set up in the Web Voucher system.

Web Voucher controls are set up at the Approver level. If you have been assigned a Web Voucher Approver responsibility, you are able to approve vouchers for a limited range of 33-digit accounts. Approval group names generally reflect access limits.

AWS2 / HUDINI Responsibility Naming Convention

To use AWS2 or HUDINI you need to be assigned to one or more reporting responsibilities. Your reporting responsibility controls the accounts that you can view and the level of detail of data contained in reports. Responsibility names reflect access limits.

Sample AWS2 / HUDINI Approval Group:

1. All reporting responsibilities begin with "HDW" (Harvard Data Warehouse).

2. The tub name is generally shown. For responsibilities with access to a broad range of values, the abbreviation UNV (University-wide) is used.

3. This field indicates which Chart of Accounts segment is used to limit access: O (org), F (fund), A (activity), or R (root).

4. This field gives some indication of the org, fund, activity, or root values that this responsibility can access. If an "n" is appended to the value, it means that this is the first of multiple values that this responsibility may view.

5. This field reflects the flexfield security rule that limits access to object codes. In the above example, the responsibility allows access to "IE-S" (Income and Expense minus Salary). Click here for a list of object code restrictions.

6. This field indicates what type of additional detail is available to the responsibility. P, S, or H will be listed if the responsibility is allowed access to detail from Payroll, STAR, or HURIS.

 

General Ledger / Budget Tool Responsibility Naming Convention
To use the General Ledger or Budget Tool application you need to be assigned to one or more responsibilities. A responsibility controls access to menu functions and Chart of Accounts values and level of detail. Responsibility names generally reflect access limits.
Sample General Ledger / Budget Tool Approval Group:

1. All General Ledger and Budget Tool responsibility names begin with "HRVD."

2. This field contains the name of the application used by the responsibility: either BUD (Budget Tool) or GL (General Ledger).

3. The tub name is generally shown. For responsibilities with access to a broad range of values, the abbreviation UNV (University-wide) is used.

4. This field reflects access limits to the org segment. The value displayed indicates the org value for which you may submit budget or general ledger journals. If an "n" is appended to the value, then this is the first of multiple values (continuous or discontinuous) that you may transact against. Note: Restriction on the org segment can include "child"-level or "parent"-level Chart of Account values.

5. This field reflects the flexfield security rule that limits access to object codes. In the example, the responsibility allows access to "IE-S" (Income and Expense minus Salary). Click here for a list of object code restrictions.
